Summary

  • GENERAL SUMMARY
    • The Senior Executive Secretary performs general secretarial duties for designated personnel.  Responsibilities include but are not limited to: preparing spreadsheets and correspondences; screening visitors and calls; maintaining files; distributing mail; coordinating and scheduling meetings; organizing workload to meet established priorities and coordinating special functions.  May require workflow analysis, process improvement, and project management assistance. Duties may require thorough knowledge of supervisor’s areas of responsibility.  Reports to senior leadership.
  • ESSENTIAL DUTIES AND RESPONSIBILITIES
    • Develops, implements, and maintains general, office, department and administrative information and data to enhance coordination of Executive and department functions. 
    • Anticipates administrative needs of those supported by gathering and maintaining records, reports, correspondences, data and other related information for effective decision making purposes.
    • Maintains integrity of confidential information.
    • Performs additional duties as assigned.   
  • LICENSES AND/OR CERTIFICATIONS
    • None required.
  • MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
    • Bachelor’s degree in Business Administration or related field preferred. 
    • Minimum of seven years of executive level secretarial experience required. 
    • Demonstrated proficiency in MS Office suite. 
    • Excellent organizational and multi-tasking skills necessary.
    • Excellent interpersonal skills necessary in order to communicate with multiple departments, callers, visitors and various levels of management. 
    • Proven ability to effectively maintain alphabetic and/or numeric filing systems and organize work load. 
    • Previous experience in data analysis and management preferred. 
    • Demonstrated ability to analyze and problem solve independently.   
  • WORKING CONDITIONS
    • Normal office environment with little exposure to excessive noise, dust, temperature and the like.
