Summary

  • GENERAL SUMMARY
    • The Release of Information (ROI) Intake Specialist is responsible for working with patients, attorneys, and others who come to HIM to collect records.  This position is responsible for having a working knowledge of HIPAA release of information requirements, elements of an acceptable subpoenas, release authorizations for acute care children’s hospitals and acute care children’s psychiatric facilities as well as provider clinic rules for children.  Reports to department leadership.

  • ESSENTIAL DUTIES AND RESPONSIBILITIES
    • Assists with walk-ins for release of information purposes and may set up in-person schedules for patients who are on-site requesting viewing or copies of records.
    • Answers a high volume of calls from patients, providers, attorneys, etc.
    • Reviews subpoenas and release of information consents to determine validity and works with issuing parties accordingly to ensure correct consents/subpoenas prior to distributing requests for finalization.
    • Collects payments and processes for record releases.
    • Distributes information from calls to appropriate staff members.
    • Sorts and distributes USPS mail daily related to Release of Information.
    • Understands and maintains HIPAA, Virginia and North Carolina regulations related to record release.
    • Has familiarity of release of information for children including adoptions and foster parent request.
    • Maintains confidentiality and protected health information according to federal regulations.
    • Performs other duties as assigned.
  • LICENSES AND/OR CERTIFICATIONS
    • None
  • MINIMUM EDUCATION AND EXPERIENCE REQUIREMENTS
    • High school diploma or equivalent required. Some college related to health information management preferred.
    • 1 year of work experience in a Medical Office/HIM release of information or related field required
    • Must be able to work in a high stress environment.
    • Must be able to handle high volume of phone calls from patients, providers, other acute care facilities, attorneys and others.
    • Interpersonal skills to communicate tactfully with peers, professional staff, and external requestors (e.g., families, attorneys, etc.). Excellent verbal and written communication skills.
    • Proficient in Microsoft Office software.
    • Experience with Cerner PowerChart preferred.
  • WORKING CONDITIONS
    • Normal office environment with little exposure to excessive noise, dust, temperature, and the like.
